Description
This role offers a blend of proactive Personal Assistant (PA) support, operational management, and project coordination, ensuring smooth daily business operations. The ideal candidate will be organised, adaptable, and skilled at managing multiple tasks and priorities in a fast-paced environment. The role focuses on enabling effective ways of working, improving consistency of processes, and supporting the adoption of approved digital and AI tools to enhance efficiency.
The Role
Key Responsibilities:
PA Support:
• Manage complex calendars, schedule meetings, and handle communications.
• Arrange both domestic and international travel, ensuring seamless logistics and compliance with company policies
• Provide comprehensive administrative support to senior leadership.
Operations:
• Oversee office workflows and ensure adherence to company policies.
• Manage resources effectively and contribute to continuous process improvements.
• Maintain simple trackers, logs, and records to support operational visibility.
Project Assistance:
• Support various ad-hoc projects, including research, document preparation, stakeholder coordination, and execution.
Additional Duties:
• Maintain and ensure compliance with corporate records management and filing standards.
• Prepare, format and distribute documents using MS Office platforms (Word, Excel, PowerPoint, Outlook, Teams).
• Provide cover and support for team members during periods of absence, as required
Qualifications
What you’ll bring:
• Strong organisational skills: Able to manage multiple tasks, priorities, and stakeholders in a deadline driven environment.
• Technology: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and able to quickly adapt to new software systems (e.g., Oracle, Ariba, Book a Room, AI enabled tools such as Microsoft Copilot).
• Proven Administrative Experience: Confident in organising, prioritising, and delivering high quality support.
• Workflow Management: Methodical in managing processes for efficiency and accuracy.
• Detail-Oriented: High attention to detail, particularly in data entry, documentation, and communication, with strong typing, grammar, and spelling.
• Excellent Communication Skills: Confident communicator, both written and verbal, with a proactive approach.
• Adaptable Team Player: Collaborative and flexible, with excellent interpersonal skills, and the ability to work effectively with clients and colleagues at all levels.
• Systems Navigation: Comfortable navigating corporate systems and processes to support smooth operational delivery.
• Numerical confidence: Able to work accurately with spreadsheets and numerical information.
