This dynamic role is a blend of proactive Personal Assistant (PA) support, operational management, and project coordination, ensuring smooth daily business operations. The ideal candidate will be organised, adaptable, and skilled at managing multiple tasks and priorities in a fast-paced environment.

 

The Role:

 

PA Support:

  • Manage calendars, schedule meetings, and handle communications.
  • Arrange both domestic and international travel, ensuring seamless logistics.
  • Provide comprehensive administrative support to senior leadership.
  • Oversee office workflows and ensure adherence to company policies.
  • Manage resources effectively and contribute to continuous process improvements.
  • Support various ad-hoc projects, including research, document preparation, stakeholder coordination, and execution.
  • Maintain and ensure compliance with corporate records management and filing standards.
  • Prepare and distribute documents across MS Office platforms (Word, Excel, PowerPoint, etc.).
  • Provide support and coverage in the absence of team members when required.

Qualifications

  • Exceptional Organisational Skills: Capable of managing multiple tasks and stakeholders in a fast-paced, deadline-driven environment.
  • Technology: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and able to quickly adapt to new software systems (e.g., Oracle, Ariba, Book a Room).
  • Strong Administrative Expertise: Excellent in organising, prioritising, and meeting deadlines.
  • Workflow Management: Methodical in managing processes for efficiency and accuracy.
  • Detail-Oriented: High attention to detail, particularly in data entry, documentation, and communication, with strong typing, grammar, and spelling.
  • Excellent Communication Skills: Confident communicator, both written and verbal, with a proactive approach.
  • Adaptable Team Player: Collaborative and flexible, with excellent interpersonal skills, and the ability to work effectively with clients and colleagues at all levels.
  • Systems Navigation: Familiarity with navigating company systems and processes, ensuring smooth operational integration.
  • Comfortable with Numbers: Capable of handling spreadsheets and numerical data accurately.
