As Senior Associate – Administrative Assistance, this position requires a passion for client/customer satisfaction as well as the desire to continually tackle new challenges. The role
Excellence
• Work directly with the Toronto and Canada Work & Rewards Market Leaders planning and executing on market initiatives, client and colleague events
• Work directly with our team of Work & Rewards senior consultants on a variety of client deliverables, project planning and related initiatives
• Develop a strong understanding of the Work & Rewards Group and all of our lines of business to provide proactive support
• Demonstrate autonomy and proactive initiative to plan and lead market-related activities
• Lead and support the development of client-ready documents including presentations and contracts in PowerPoint, Word and other written documentation/communication
• Proactively pursue and undertake ongoing development of technical and administrative skills to support in a continuously evolving environment
• Seek and participate in key learning and development opportunities/maintain steady progress
• Provide advanced level support in the full Microsoft Suite, specifically Teams, Dynamics, Word, PowerPoint and Excel, including the support of analytical market measures and system entries
• Ensure excellence and quality control; proofreading and editing documents to ensure they meet WTW brand standards
• Actively manage calendars for senior consultants; coordinate and prepare for meetings/events
• Coordinate complex planning, preparation, implementation of market activities and scheduling of travel arrangements, expense reporting
• Actively plan and participate in team meetings and support the capturing and completion of next steps and action items
• Anticipate and support administrative needs of leaders in partnership with other administrative staff
People
• Build strong relationships internally and collaborate effectively on cross-functional teams
• Support the collaborative team environment by partnering with other administrative staff on workflow and client projects
• Demonstrate natural ease and effectiveness when dealing with clients/colleagues at all levels
• Work in a supportive, team-oriented environment
Clients
• Oversee client project administration (including project set-up, contract administration, file maintenance, etc.)
• Provide assistance in new business activities – market research, presentation creation, database management
• Deliver on projects to meet or exceed client expectations
• Increase efficiency by identifying ways to improve processes
• Build strong relationships with clients’ particularly administrative support; serve our clients in a professional and collaborative manner
Financial
• Research billing and expense discrepancies
• Generate client/project financial reports in a timely fashion as needed
Qualifications
• 5 years of experience in a professional services environment
• Experience providing administrative support to multiple parties simultaneously
• Advanced working knowledge of Microsoft Word, PowerPoint and Excel; Microsoft certification a plus
• Dynamics experience a plus
• Exceptional problem solving, critical thinking, and customer service skills
• Strong organizational skills, with proven experience prioritizing work and coordinating several projects at one time
• Ability to remain calm under pressure and maintain a professional demeanor
• A strong focus on details and accuracy of work
• Ability to take full ownership of assigned work
• An innate desire to produce high-quality work and earn respect
• Flexibility: able to adapt to different people and work assignments
• A learning orientation with strong interpersonal and project/time management skills
• Ability to communicate openly and effectively both verbally and in writing
• Bachelor’s degree preferred
Compensation
The base salary compensation range being offered for this role is 65,000 - 85,000 CAD per year.
This role is also eligible for overtime, and performance-based recognition awards.
