Summary of the role

The Contracting Management Specialist is focused on the efficient completion of a contracting request, engaging with internal stakeholders throughout the process and effectively communicating with client leads the status of a contract as needed. This person would champion the best practices in the contracting process with a CLMS and ensure they track the required details correctly. This person will also have a strong presence with Sales Operations, Client Leads, LOB Leaders, Legal, ICS, COEs along with other Subject Matter Experts.

Principal Duties/Responsibilities

•    Facilitate the full contract review process. Ensure contracts are thoroughly reviewed by Legal and other internal subject matter experts
•    Serves as the main contact point and acts as a liaison between client leaders, Legal and subject matter experts.
•    Project manages internal discussions around client contracts with internal functions involved in contracting for complex contracts
•    Direct documents to the correct reviewers and follow up to ensure timely feedback according to SLAs.
•    Provide support in contract negotiation ensuring Legal provides information on which terms are non-negotiable, which have flexibility, and why. 
•    Ensure the tiered approvals process is followed and work with the COE Leaders in coordination for CAC approval if required
•    Champion the utilization of a CLMS and follow best practices in engagement with our SMEs
•    Works closely with Sales Operations, Client Leads, Legal, ICS, LOBs, COEs and other SMEs
•    Manage all contract versions, ensuring accurate tracking and delivery of a client-ready version once all reviews are complete.
•    Manage contract documentation ensuring fully executed contracts are uploaded and maintained in the Global contract repository.
•    Address any process or communication barriers promptly and escalate when needed to keep the contract moving smoothly.
•    Helps the COE Leader with the contracting and assessments approach to recommend improved processes and efficiencies and partners with WTW colleagues to implement changes.
•    Assists with ad hoc tasks such as mailbox management and contract upload as needed.

Qualifications:

•    Minimum 3-year experience in contract management
•    Bachelor’s degree in business, Marketing, Economics, Data Analytics, Communications, or a related field.

•    An ability to organize, maintain and manage a process
•    Strong project management and analytical skills with ability to successfully communicate across multiple stakeholder groups
•    Ability to problem-solve and be a creative thinker
•    Ability to collaborate with teams across WTW segments, functions and geographies.
•    High level of business acumen
•    Ability to influence key stakeholders at all levels of the organization
•    Team-oriented and collaborative
•    Broad understanding of WTW capabilities and expertise
•    Legal, Contracting, RFP and/or assessment experience is a plus

Tools & Technical Knowledge:

•    Experience with Contract Lifecycle Management (CLM) tools such as Sirion, Oracle, Adobe Sign CLM, etc. (Preferred)
•    Proficiency in Microsoft Office, especially Word, Excel, and Outlook, is essential for document handling and communication. (Must-Have)
•    A basic understanding of contract types like MSAs and NDAs, and client structures (e.g., parent vs. subsidiary), is required. (Must-Have)
•    Familiarity with task management tools necessary to handle contract intake and assignments. (Preferred)
•    The ability to collaborate using tools like Microsoft Teams or SharePoint is important for cross-functional coordination. 
•    A basic awareness of compliance topics such as GDPR or SOX is beneficial in understanding legal considerations. (Good-to-Have)

US working hours (EST) – 8:00 PM to 5:00 AM (Manila Time)
