About The Team:

 

The team supports the data management framework implemented on Microsoft Dynamics 365. The team provides a wide range of services, including the following:

 

  • Supporting various business segments by facilitating the management and maintenance of their data within Microsoft Dynamics 365.
  • Conducting research on new and existing client contacts using professional research tools such as LinkedIn Sales Navigator, in order to support the marketing and sales teams in their day-to-day business activities.
  • Managing requests for new customer relationship management integrated dashboards, as well as updates and amendments to existing dashboards.
  • Assisting in managing the flow of data across customer systems while continuously improving the quality and accuracy of the data. This includes supporting data cleansing activities.
  • Working with large volumes of data to enable business teams and key stakeholders to extract, analyze, and understand business drivers and performance metrics.
  • Supporting technology rollouts related to client data functions.
  • Maintaining global standards for reference data across systems.
  • Participating in ad hoc projects that fall within the scope and responsibilities of the team.

About the Role:

 

The Contract Coordinator plays a critical role in ensuring the efficient intake, assignment, and management of contract requests across the organization. This position requires close and ongoing collaboration with the internal Contracting Center of Excellence team throughout the complete contract management lifecycle.

The role is responsible for maintaining clear, accurate, and timely communication with Contracting Centre of Excellence leads and other internal stakeholders, particularly in relation to contract status updates, reporting, and process coordination. The position supports consistent application of contracting standards, governance, and best practices.

 

Roles and Responsibilities:

 

  • Manage the contract intake process, including monitoring and managing the shared contract mailbox.
  • Assign contract requests to appropriate members of the Contracting Center of Excellence based on workload, expertise, and prioritization guidelines.
  • Collaborate closely with the Contracting Center of Excellence team to ensure contracts are processed accurately and within agreed timelines.
  • File fully executed contracts in the contract repository, ensuring correct alignment to client structures such as parent and subsidiary relationships, and consistent document tagging.
  • Provide regular status updates and detailed reports to Contracting Center of Excellence leads, ensuring trackers remain accurate, current, and well organized.
  • Respond promptly and professionally to questions or concerns received from the business through the shared mailbox.
  • Promote and support best practices in the contracting process through effective use of the Contract Lifecycle Management System.
  • Ensure all required contract details are accurately tracked, documented, and maintained in line with governance and audit requirements.
  • Support day-to-day administrative activities, including document formatting, file management, and preparation of materials for review.
  • Demonstrate strong collaboration with Sales Operations teams, the Contracting Center of Excellence, and Legal teams.
  • Learn contracting processes quickly, ask relevant and structured questions, and follow defined workflows with minimal supervision.
  • Apply sound judgment when navigating client hierarchies, contract types, and intake prioritization.

Qualifications

  • Bachelor’s degree in business, Marketing, Economics, Data Analytics, Communications, or a related field.

        • Prior experience in legal, contracting, request for proposal processes, or assessments is an added advantage.

 

Tools & Technical Knowledge:

 

  • Experience with Contract Lifecycle Management tools such as Siebel, Oracle Contract Management solutions, or DocuSign Contract Lifecycle Management is preferred.
  • Proficiency in Microsoft Office applications, including Microsoft Word, Microsoft Excel, and Microsoft Outlook, is mandatory for document handling and communication.
  • Basic understanding of contract types such as Master Services Agreements and Non-Disclosure Agreements, as well as client structures including parent and subsidiary relationships, is mandatory.
  • Familiarity with task management tools used for managing contract intake and assignment is preferred.
  • Ability to collaborate using tools such as Microsoft Teams or Microsoft SharePoint to support cross-functional coordination.
  • Basic awareness of compliance frameworks such as General Data Protection Regulation or Sarbanes-Oxley Act is considered beneficial.
