Description
The Role
Manage the Head of CEE’s agenda, including scheduling meetings, appointments, engagements, and coordinating domestic and international travel arrangements.
Assess priorities and exercise sound judgment in managing and allocating the Head of CEE’s time.
Conserve the Head of CEE’s time by reviewing, researching, and routing correspondence; drafting communications and documents; gathering and analyzing information; and proactively initiating follow-ups where appropriate.
Act as a liaison between the Head of CEE, key stakeholders, and internal colleagues, ensuring effective communication flow. Screen, prioritize, and respond to inquiries with professionalism, tact, and diplomacy.
Identify matters requiring the Head of CEE’s attention, redirect items where appropriate, and independently handle issues within scope of authority.
Support the preparation of presentations, reports, spreadsheets, white papers, and other materials for internal and external audiences. Transcribe source materials and prepare structured documents, tables, and charts as needed.
Organize departmental meetings, business reviews, and offsites; support the planning, coordination, and execution of such events.
Lead or support special projects, including preparing PowerPoint presentations, financial analyses, reports, and meeting materials.
Attend meetings as required, take detailed notes, and prepare draft minutes and executive summaries.
Actively contribute to assigned projects and ensure timely completion of deliverables.
Maintain the highest level of confidentiality and discretion at all times.
Anticipate needs proactively and address requirements before they arise.
Qualifications
The Requirements
2+ years of relevant professional experience
Bachelor’s degree in any discipline
Strong organizational and time management skills
Ability to manage upward and work effectively with senior stakeholders
Strong gatekeeping and negotiation skills
Experience in email, calendar, travel, and expense management
Basic project coordination and follow-up capabilities
Experience supporting event planning and coordination
Excellent verbal and written communication skills in Serbian and English
Proficiency in MS Office (Outlook, Excel, Word, PowerPoint)
Strong document preparation and formatting skills
High attention to detail
