Description
The Role
This role is part of the WTW Enterprise Delivery Organization (WE DO) under the HR Services (HRS) function and will be based in Tokyo, Japan. The role will report directly to the HR Services Regional Cluster Lead with matrix reporting line to local HR lead.
As an HR Administrator at WTW, you will support our employees and play a key role in driving the company’s growth and employee success. This is an ideal position for those looking to grow in an HR Administrator role.
As a member of the Japan HR team, you will collaborate with your team member to efficiently support over 240 employees in our Japan office, playing a key role in enhancing the employee experience and supporting the company’s success. You will work closely not only with the Japan HR team but also with HR teams across Asia, gaining exposure to a wide range of HR functions and acquiring new skills.
Key Responsibilities
- Payroll and Benefits: Coordinating monthly payroll and bonus data with external vendors; handling year-end tax adjustments; managing and calculating retirement fund contributions; responding to inquiries regarding social insurance; managing and administering defined contribution (DC) pension plans; handling various allowances and private insurance (non-statutory benefits).
- Attendance Management: Operating the attendance system; monitoring and reporting overtime hours.
- Leave and Leave of Absence Management: Managing paid and unpaid leave; consulting with and processing procedures for employees on leave of absence.
- Employee Onboarding and Offboarding: Drafting offer letters; managing contracts for contract employees; conducting HR induction during new hire onboarding; providing visa acquisition support; handling resignation procedures.
- Labor Management: Revision of employment rules, revision of internal regulations, compliance with Article 36 agreements, and management of labor-management agreements
- HR System and Data Management: Managing HR cloud systems and ServiceCentral; ensuring the accuracy of employee data; managing roster reports.
- Compliance and Reporting: Preparing reports for the Ministry of Health, Labor and Welfare; preparing compliance-related documents.
- Employee Well-being Programs: Supporting the stress check program; coordinating health checkups and flu vaccinations; assisting with babysitter subsidy applications; managing the Health and Safety Committee; and preparing meeting minutes.
- Learning and Development Support: Supporting learning initiatives related to defined contribution (DC) pension plans; providing HR induction and ongoing support.
- Other Employee Support: Handling tax-related documents and other HR-related inquiries.
Qualifications
The Requirements
Essential
- Native-level Japanese language proficiency and basic English communication skills (written and verbal) to collaborate with regional and global teams.
- A professional with exposure or basic understanding of Japan’s labor laws / practices and social security system, with willingness to learn and apply process guidance to support smooth HR operations.
- 1–5 years of experience in operations, business support, or administrative roles, with interest in developing expertise in HR services.
- Demonstrated ability to write clear, structured, and comprehensive Standard Operating Procedures (SOPs) based on process walkthroughs and subject matter input.
- A detail-oriented multitasker who thrives in a fast-paced environment, balancing multiple priorities efficiently and effectively.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and the ability to leverage these tools for data management, reporting, and communication.
- Excellent written and verbal communication skills, especially in managing email correspondence and interacting with colleagues across different levels and departments.
Desirable
- HR Experience within a foreign multinational company, demonstrating familiarity with a diverse, global workplace.
- Experience in payroll and social insurance-related operations is a plus.
