About the Team

The team primarily supports several local teams and onshore stakeholders. The team is part of administrative professionals who are expected to have focused stakeholder assignments, and with the opportunity to collaborate with each other for cross business projects and large events. 


About the Role

This role provides high‑impact executive and operational support to senior leaders while leading a team of Executive Assistants.


Key Responsibilities

Executive Support

  • Act as a trusted partner to senior leaders by anticipating needs and solving problems proactively.
  • Manage complex calendars, meetings, and domestic and international travel.
  • Prioritise requests and manage executive time effectively.
  • Draft and manage emails, communications, and correspondence.
  • Coordinate with internal and external stakeholders with professionalism and discretion.
  • Prepare presentations, reports, spreadsheets, and briefing documents.
  • Support meeting governance, including agendas, action tracking, and follow‑ups.
  • Attend leadership meetings and share clear, outcome‑focused summaries.

Team Leadership & People Management

  • Act as Team Lead for the Executive Assistant group.
  • Manage and support a team of 4–6 Executive Assistants.
  • Provide coaching, guidance, and regular feedback to team members.
  • Allocate work, manage priorities, and ensure quality and timely delivery.
  • Support onboarding, training, and development of new and existing team members.
  • Act as the first point of escalation for operational issues.

Intranet & TCTO Ownership

  • Own and manage intranet content, ensuring accuracy and timely updates.
  • Coordinate content publishing and retirement with relevant stakeholders.
  • Ensure alignment with branding, communication, and governance standards.
  • Support TCTO initiatives by coordinating updates, tracking actions, and maintaining visibility.

Operational Excellence & Special Projects

  • Support planning and execution of business reviews, townhalls, and offsites.
  • Manage special projects, trackers, and leadership materials.
  • Support global stakeholders across different regions and time zones.
  • Handle sensitive information with complete confidentiality.
  • Maintain strong documentation and record‑keeping standards.
