About the Team

The team primarily supports several local teams and onshore stakeholders. The team is part of administrative professionals who are expected to have focused stakeholder assignments, and with the opportunity to collaborate with each other for cross business projects and large events. 


About the Role

We are looking for a detail-oriented and proactive Administrative Assistant to support a team of North America Leaders by managing Travel & Expense processing and handling other administrative tasks. The ideal candidate should have strong communication skills, experience working in Night shifts, and the ability to coordinate across different time zones. A motivated self-starter with strong interpersonal skills.


Key Responsibilities   

  • Manage the executive(s) professional, commitments, including scheduling meetings, appointments, engagements, and travel (domestic or international) arrangements.

  • Exercise sound judgment in prioritising requests, committing executive time, redirecting matters appropriately, and independently resolving issues where required.

  • Conserve executive(s) time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; and initiating communication where appropriate

  • Serve as a liaison between the executive(s), key stakeholders and other colleagues. This includes receiving, prioritising and screening communication and visitors, answering a variety of questions with tact and diplomacy

  • Assist the executive(s) in the development of presentations, spreadsheets and white papers for internal and external audiences; Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate

  • Schedule departmental meetings, business reviews, offsites and townhalls; assist in the planning, preparation and execution of these events

  • Complete a variety of special projects including creating PowerPoint presentations, financial spreadsheets, special reports, and agenda material

  • Enable effective meeting governance by supporting agenda planning, tracking actions and follow‑ups, and ensuring alignment across stakeholders.

  • Attend leadership meetings as required; capture discussions, decisions and actions, and prepare clear, outcome focused summaries.

  • Demonstrated experience supporting senior leaders across global, geographically diverse teams.

  • Maintain absolute confidentiality and operate as a trusted custodian of highly sensitive information.

  • Anticipate executive and business requirements, addressing needs proactively before they arise.
