Description

CASH MANAGEMENT

• Manage and distribute petty cash.

• Record, reconcile and file petty cash transactions.

• Record cheque deposit slips and release them for deposit.

• Record and file payment vouchers.

• Release cheques.

 

OFFICE ADMINISTRATION

• Manage the front desk, including receiving and directing calls, welcoming visitors and attending to general enquiries.

• Liaise with IT to Support on passwords for the team.• Manage the company's insurance policies.

• Coordinate office housekeeping.

• Coordinate procurement of office supplies including obtaining quotations and following up on deliveries.• Coordinate maintenance, servicing and repair of office equipment, facilities and accessories.

• Coordinate staff travel arrangements, including flights, accommodation, airport transfers and other related logistics.

• Manage routine administrative including printing, sorting, filing, typing, distribution and responding to routine administrative enquiries.

• Maintain and update administrative records, registers and filing systems, ensuring documents are properly organized and readily accessible.

• Liaise with building management, landlords, service providers and other external parties on office related matters.

• Coordinate incoming and outgoing courier services and physical delivery of client and company documents.

 

INSURANCE ADMINISTRATIVE SUPPORT

• Provide administrative and processing support for designated client accounts, including preparation of debit notes as instructed.

• Provide administrative support to the insurance client servicing team, including preparation, printing, scanning and distribution of client and insurance-related documents.

• Assist with tracking policy renewals, endorsements, certificates and other insurance documentation as instructed by the client Servicing teams.

• Maintain and update client-related administrative records and follow up on outstanding documentation as instructed.

• Offer back-office support on Personal Lines.

MEETINGS & BUSINESS SUPPORT

• Coordinate meetings with clients, insurers and other stakeholders, including scheduling and preparation of meeting materials.

• Maintain office calendars, meeting schedules and diaries for relevant staff.

• Take minutes at various meetings.

• Coordinate office events, staff meetings and other company activities as required.

• Maintain work lists, progress and status updates.
 

OTHER

• Perform any other duties that may be assigned.

Qualifications

Qualifications

Bachelor’s degree from a recognized University

• Good working knowledge of Microsoft Office applications, particularly Word and Excel.

• Good written and verbal communication skills.

• Good organisational, coordination, and administrative skills, with attention to detail.

• Willingness to learn and gain practical experience in insurance administration and basic financeprocesses.

• Ability to handle confidential information and documents with discretion and professionalism.

• Good interpersonal skills and ability to work effectively within a team.
