    Description

    We are seeking a proactive and highly organised Administrator to join our dynamic team at Willis Towers Watson in Reigate. This role is based in our modern, open-plan office, with convenient onsite parking. The position will be office-based for the first few months, after which it will transition to a hybrid model, requiring at least two days in the office per week.

    This role offers a rewarding opportunity to enhance your skills in team collaboration, administration, and organisation. You will manage calendars, coordinate travel arrangements, and ensure professional and efficient communication with clients.

    The Role

    The support provided to the team will cover, but not be limited to:

    • Delivering high-level administration support, ensuring reliability and efficiency.
    • Managing calendars, scheduling meetings with internal and external stakeholders, and handling meeting logistics such as attendance, catering, AV setup, venue support, and preparation of meeting materials.
    • Arranging travel (train, flights, taxis, hotels).
    • Completing timesheets and expenses accurately and on time.
    • Producing client materials, including reports, letters, meeting notes, and presentations in line with company templates, branding, and style; proofreading non-technical material.
    • Assisting with monthly billing tasks, including invoice preparation, budget tracking, and client deliverables within deadlines.
    • Maintaining internal client management systems by updating contact information, proposals, activities, and mailings as needed.
    • Attending and participating in internal meetings.
    • Supporting client contracting by loading contracts into the relevant database and helping with internal financial project code setup.

    Qualifications

    The Requirement

    • Proficiency with Microsoft Office 365 (Word, PowerPoint, Outlook, MS Teams) and a solid understanding of Excel. Strong command of the English language, with excellent spelling, grammar, and a good level of numeracy. Accuracy in typing and data entry is essential.
    • Strong written and verbal communication skills, with the ability to convey ideas clearly and support colleagues in understanding different perspectives.
    • Demonstrated analytical, organisational, and project management skills.
